PRACTICAL GUIDE

Print asset labels and use barcode scanners

Documentation verified 2026-10-19
Required access

Asset Management enabled and permission to view the equipment concerned.

Labels connect equipment in the room to its register identity. They support receiving, handover and stocktake work without requiring endpoint discovery.

Before you start

Use stable, tenant-unique asset tags. Choose a suitable label format and ensure the label remains readable on the actual equipment. Scanning does not bypass sign-in or asset visibility restrictions.

Steps

  1. Open the asset's Label tab and review the tag, name and AST number.
  2. Generate and print the available QR/barcode label output. Check the printed code before attaching it to the intended equipment.
  3. Scan a QR label to follow its asset lookup link. The scan query uses the tag to open the matching record or prefill the asset search.
  4. With a USB barcode scanner that behaves like a keyboard, focus the relevant search input before scanning the tag.
  5. Confirm the result against the physical equipment and carry out any assignment, transfer or inventory action explicitly.

Expected result

An authorised person can find the intended asset quickly and verify its identity before recording work.

Important behaviour

A scan locates a record. It does not automatically receive stock, assign custody, confirm a campaign item or discover device configuration. An ordinary user still cannot view equipment outside their permitted scope.
